Here’s my story

My first incredibly challenging project was in a Japanese laboratory. We were to help them meet global standards set by the College of American Pathologists (CAP). I knew very little about laboratories and even less about running a project. And, my Japanese was barely conversational at the time.

It was trial by fire and I literally went home with a headache everyday. I could get away with a non-medical background, but that was not the case with managing the project. We had one year which seemed like a such long time, at first… .

Of my 23 teams (the entire lab of 400 people was involved), each with a different medical specialty, no one really spoke English so my Japanese had to do. Fanning the flames were cultural misunderstandings and the biggest issue: they had day jobs and were not happy with the extra effort required.

I feverishly began to study project management and was overjoyed to find MS Project. I knew that having a good plan and schedule would keep us on track. Boy, was I wrong! That was the least of my team’s worries. Their daily schedule of testing thousands of patient samples a day was first priority and mine a far, far second. The year was flying by…

Language was only part of the communication problem. The Gantt or bar chart for the schedule became nothing more than a checklist that meant very little to team members who were new to projects. I needed to keep the project on target by making sure they knew exactly what to do and when, as each task was new to them and had to be explained.

I had used mind mapping for years to brainstorm, take notes and present. Grasping at straws, I decided to try using it for my meetings. As each team arrived for their session, I wrote their future tasks up on the board and mapped out what they had to do. Having a visual of the project and tasks seemed to jumpstart our discussions, increasing understanding and buy-in. “Was I onto something?”, I asked myself.

I was, and the maps really helped, but soon I had a new problem: At every meeting I generated at least 23 maps and now I was swimming in paper. My desk was swamped, and I became hopelessly unorganized as the year went on.
